Universal Computing is committed to harnessing the power of artificial intelligence responsibly — using it to amplify human expertise, accelerate results for clients, and uphold the authenticity and trust that sit at the heart of every campaign, website, and service we deliver.


1. Foreword: AI Is Here to Stay

Artificial intelligence is no longer a distant prospect or a niche technology reserved for large enterprises. It is already woven into the search engines you use, the social platforms your customers scroll through, the email tools your team relies on, and the devices in every pocket. Its role in business — and in everyday life — will only deepen in the years ahead.

At Universal Computing, we welcome this. We believe that AI, used with care and clear principles, has the power to make businesses more competitive, marketing more effective, and technology more accessible to organisations of every size. Our job — as your web design, digital marketing, and IT partner — is to ensure that you benefit from those gains without sacrificing the things that matter most: your brand's authenticity, your audience's trust, and the human relationships at the core of good business.

This policy sets out exactly how Universal Computing uses AI across its services, where human oversight is mandatory, and what protections we put in place for our clients and the audiences they serve.


2. Scope

This policy applies to:

  • All Universal Computing staff and contractors involved in the client project delivery

  • All services provided by Universal Computing, including website design and build, digital marketing, SEO, paid advertising, social media management, IT support, and device supply

  • All AI tools and platforms used internally or in the delivery of client work

Clients engaging Universal Computing for any of the services covered above can rely on the commitments made in this document.


3. Our Approach to AI: Efficiency Without Compromise

Universal Computing adopts what we call an "AI-assisted, human-approved" model. This means we actively embrace AI where it adds genuine value — speed, depth of analysis, data processing, ideation — while maintaining clear human ownership over every decision that shapes your brand, your reputation, or your relationship with your audience.

This is not a passive stance. We have defined, across each service line, precisely where AI is a tool and where human judgment is non-negotiable.

  • Technical development support: AI coding assistants are used to accelerate development work on WordPress websites, custom post types, dynamic templates, and integrations — with all output reviewed and tested by our developers.

4.3 Ideation & Content Drafting

AI may be used to generate initial drafts, headline options, or structural outlines for written content, including website copy, blog posts, email campaigns, and social content. These outputs are always:

  • Reviewed and substantially edited by a Universal Computing team member with the relevant expertise

  • Fact-checked for accuracy and relevance to the client's sector and audience

  • Aligned with the client's agreed brand voice and tone

  • Optimised for SEO using established best practice, not automated output alone

No AI-generated draft is published or submitted to a client without human review and sign-off.


5. Where Humans Must Lead: Advertising & Brand Communication

We are direct about this: AI-generated advertising copy, creative executions, and brand communications carry a risk that Universal Computing takes seriously. When audiences sense — or discover — that the words and images used to sell them something were produced by a machine without genuine human care, trust erodes. For our clients, that trust is hard-won and irreplaceable.

All advertising copy, creative concepts, and client-facing brand communications produced by Universal Computing are overseen, reviewed, and approved by real people in our organisation. AI is a research and drafting aid only — never the final author.

What the Badge Means

  • The advertising material that appears on was written and approved by a human team member at Universal Computing.

  • No AI-generated copy or creative was used as the final output for that piece.

  • The work reflects genuine human understanding of your brand, your audience, and your market.

7. Transparency: AI Tools We Use

Universal Computing uses a range of AI-assisted tools across its service areas. We are transparent about this. Current tools in use include, but are not limited to:

This list is reviewed and updated as our toolset evolves. We do not use AI tools that have not been assessed for data privacy compliance and alignment with this policy.


8. Data Privacy & Client Confidentiality

Universal Computing treats client data — including business information, customer data, campaign data, and intellectual property — with the highest standard of care. When AI tools are used in the delivery of client work:

  • Sensitive client data is not entered into public-facing AI platforms unless those platforms operate under a compliant data processing agreement.

  • No personally identifiable information (PII) about our clients' customers is processed through AI tools without a lawful basis and appropriate safeguards under UK GDPR.

  • Client-specific business intelligence, campaign strategies, and confidential materials are treated as commercially sensitive. Staff are instructed not to input such information into AI tools that do not provide adequate data protection guarantees.

  • Where AI tools process any personal data, Universal Computing maintains records in accordance with its wider GDPR compliance obligations.

Clients with specific data sensitivity concerns — for example, those operating in regulated sectors — are encouraged to discuss their requirements with their account manager to confirm in writing that appropriate safeguards are in place.


9. Quality Assurance & Accuracy

AI tools can produce errors, outdated information, and content that sounds plausible but is factually incorrect. Universal Computing operates the following safeguards:

  • All AI-generated content to be published or shared with clients is reviewed for factual accuracy by a team member with relevant subject-matter expertise.

  • Any factual claims, statistics, or references included in client content are verified against primary or authoritative sources before use.

  • SEO content is checked for search accuracy, local relevance, and alignment with current best practices before delivery.

  • Technical AI-assisted code and configurations are tested in staging environments before deployment to live client websites.

If an error originating from an AI-assisted process is identified after delivery, Universal Computing will correct it promptly and at no additional cost to the client.


10. Ethical Use of AI

Universal Computing is committed to the responsible and ethical use of AI across all its activities. We will not use AI to:

  • Generate misleading, deceptive, or false content for any client or purpose

  • Create synthetic media (deepfakes, fabricated testimonials, or falsely attributed quotes) that could mislead audiences

  • Produce discriminatory, harmful, or unlawful content of any kind

  • Infringe intellectual property rights, including by reproducing copyrighted material without authorisation

  • Automate decisions that have significant legal, financial, or personal consequences without human review

We also commit to staying informed about the rapidly evolving regulatory landscape for AI in the UK and EU, including the EU AI Act and emerging UK AI governance frameworks, and to updating our practices accordingly.


11. Staff Training & Awareness

All Universal Computing team members and contractors who use AI tools as part of their role receive guidance on:

  • The capabilities and limitations of AI tools relevant to their work

  • The requirements of this policy, including mandatory human oversight for client-facing deliverables

  • Data privacy responsibilities when using AI platforms

  • How to identify and correct AI-generated errors before content is delivered to clients

Training is updated whenever significant new AI tools are adopted or when material changes are made to this policy.
